Assistant Office Manager Job Summary

The Assistant Office Manager to provides administrative support to the Center for Pediatric Therapies and Building Blocks Center for Children with Autism located in Danville, Virginia.

Status: Full-time (12 months)

Hours: Monday through Friday, 7:30am to 4:00pm

Reports to: TBD

Responsibilities

  • Answer phones, record and deliver messages
  • Responsible for patient scheduling and intake for new referrals
  • Responsible for ensuring paperwork (evaluations, POCs, IFSPs etc.) are delivered to the appropriate personnel within the timeframe designated
  • Record attendance and maintain records of attendance for students enrolled in private day school
  • Maintain patient schedule to ensure adequate staffing is provided to cover for absences and peak workloads
  • Manage filing systems
  • Manage records
  • Maintain organization of the office layout and maintain supplies of stationery and equipment

Qualifications

We are looking for dependable individuals to join our team. The Assistant Office Manager must be energetic, have a love for children, dedication to teaching, patience, and willingness to learn.

Additional qualifications include:

  • Must hold a minimum of an associate’s degree
  • Proficient with a range of office equipment and computer systems and software, including fax, email, spreadsheets, databases;
  • Proficient with Microsoft Office, including Microsoft Word and Excel
  • Experience working in a medical office environment preferred
  • Experience working with children preferred
  • Ability to independently and repeatedly lift, move and carry objects weighing up to fifty (50) pounds
  • Valid Virginia driver’s license
  • Legally authorized to work in the United States of America
